We have two versions of our best-selling Church & Charity Accounting Software available, depending on your requirements.

The STANDARD version includes comprehensive facilities for multi fund accounting, donation bookings, Gift Aid claims, transfers, purchase ledger, budgets and Charity Commission SORP compliant reporting. Both accruals and receipts and payments accounting methods are supported. Reports can be produced for any fund, combination of funds or all funds together.

The ADVANCED version provides the complete accounting facility.  It includes all facilities of the Standard version plus billings, sales ledger, project accounting and foreign currency processing.  The Advanced package supports the accruals accounting method only.  In addition to funds reporting, the Advanced version includes financial and budget reporting on projects within a fund, or even across multiple funds. The foreign currency facility allows foreign bank accounts, donations, funds and projects.

Both are available online (accessible from the cloud anytime, from any location and any device) or on a PC with our Windows Desktop version.


Paxton Payroll

If you want to have the payroll burden completely lifted from your shoulders, Paxton Payroll can take care of everything. For a fixed cost of £30.00 (+VAT) per pay run, which includes the program fee, we take the gross pay figure provided by yourselves, calculate the net pay to the employee, submit all RTI information, provide payslips for the employees and then provide the monthly figure of PAYE for you to pay over.  Everything taken care of and nothing for you to worry about

Independent Examiner

Does your organisation require an independent examination? Independent examination provides an independent scrutiny of charity accounts in order to help maintain public trust and confidence in charities.

Paxton Independent Examiners is both cost-effective and – more importantly – led by Paxton’s Accountant & Head of Independent Examiners, Darren, who has decades of accounting experience whilst also having an in-depth understanding of the unique and often complex requirements of the charity sector.

For a fixed fee of £150.00* we:

  • Complete the independent examination of your annual accounts.
  • Check that the accounts are in a format suitable for the Charities Commission.
  • Check your report to ensure they are compliant with regulatory authorities.
  • Advise on any adjustments that may be needed to the accounts.

*This is for charities using Paxton Software that have income below £250,000 and have no legal reason to submit accruals accounts. For anyone using alternative software, requiring accruals accounts examining, or Charitable Companies, please contact us for a fixed quote.

Accounting Software Pricing


To help get you off to a flying start using your new Paxton software, every purchase comes with FREE database setup (worth £250) AND 1 hour’s free training session (worth £70).


All subscriptions to Paxton Software are billed monthly in advance via direct debit and include ongoing helpdesk support, maintenance, new features and software updates.

Prices are for a single concurrent user logon, although multiple users can be set up.

Additional concurrent users are priced at an extra £20 a month (Standard) and £25 a month (Advanced).

All prices are exclusive of VAT @ 20%


If you’re not sure which features you need, our support team will be happy to go through your particular requirements to advise whether STANDARD or ADVANCED will suit you best.

Our contracts are a monthly rolling contract so you are always welcome to upgrade for the additional features at any point.

Yes, the software has charity specific features, e.g. multi-fund management, donations and Gift Aid, and Charity Commission reports.

Yes, the software has full donations and Gift Aid management, and produces the Gift Aid schedule in HMRC format.

Yes, the software produces a SOFA (Statement of Financial Activities) in Charity Commission format.

Yes, you can set up as many funds as you wish. You have to have a General fund, but can have as many designated, restricted and endowment funds as you want.

Yes, but only in the Advanced package.

Yes, the software handles VAT and can submit VAT returns via MTD (Making Tax Digital).

No, but you can import transactions from your bank statements.

Yes, and it’s included in the subscription! We have a UK based support team that are here to help via email or telephone. The support desk is open Monday-Friday, 9:30 to 4:30, and support emails can be sent in at any time.
